Policy Name: Membership and Registration Priority Policy

Purpose:

This policy outlines the registration process and membership priority for players wishing to join or transfer into Bashaw Minor Ball Association (BMBA) ensuring a fair and transparent system for team formation and member inclusion.

Policy Details

1. Registration Period

  • Opening Date: February 1
  • Late Fee Applies for registrations completed after: February 22

  • Closing Date: February 28

All registrations must be completed, including payment, by the closing date to be considered for team placement

2. Team Approval

  • Registration is provisional until final team compositions are approved by the Board of Directors.

  • Team rosters are subject to review to ensure compliance with league requirements and player capacity limits.

3. Player Cap by Age Category

  • U11 and Above: Minimum 9 players, maximum 14 players.

  • 9U: Minimum 7 players, maximum 10 players.

  • 7U: Minimum 6 players; maximum managed by the Board.

  • 5U: Minimum 6 players; maximum managed by the Board.

Registrants beyond the player cap may be placed on a waitlist.

4. Membership and Registration Priorities

Players will be prioritized for team placement as follows:

1. Returning Members in Good Standing

  • Returning players from the previous season will have first priority, even if placed on the waitlist due to initial capacity limits.

  • A returning member must complete registration and payment by the closing date to retain priority status.

2. New Members Whose Nearest Association is Bashaw

  • New registrants whose nearest association is Bashaw will have second priority, provided registration and payment are completed by the closing date.

3. Other New Members Who Have Paid by the Deadline

  • New registrants who complete both registration and payment by the closing date but do not meet the Bashaw proximity requirement will have third priority.

4. Returning Members Who Miss the Payment Deadline

  • Returning members who have not paid by the deadline will lose their first-priority status and may be placed on the waitlist.

5. Transfers from Other Associations

  • Players requesting to transfer from another association will be considered after all registered and paid members (both returning and new) have been placed.

5. Waitlist Management

  • Waitlisted players may be offered roster spots if space becomes available, following the priority order outlined in this policy.

  • Waitlist order will be determined by the date of completed registration and payment.

6. Payment Requirements

  • Registration is considered incomplete until full payment is received.

  • Incomplete registrations will not hold priority and may be moved to the waitlist.

  • Refunds for registration fees will follow the guidelines outlined in the BMB Refund Policy 

7. Exceptions and Special Circumstances

  • Any exceptions to the player cap or other provisions of this policy will be considered on a case-by-case basis at the discretion of the Board of Directors.

8. Transfer Requests

  • All transfer requests must comply with any league or governing body regulations.

  • Transfers are subject to Board review and approval.

Policy Review and Amendments

This policy will be reviewed annually and may be revised as needed by the Board of Directors to ensure continued fairness and operational efficiency.
